Club Code of Conduct & Zero Tolerance Policy

Our Promise At Hilversum International Cheerleading Academy (HICA), we are building more than a cheerleading club, we are building a community. A place where every athlete feels safe, valued, and inspired. Everything we do is rooted in our three core values: inclusivity, fun, and excellence. This code of conduct exists to protect those values and ensure every person connected to HICA experiences them every single day.

Our Athletes Agree To:
Treat every teammate, coach, and opponent with kindness and respect
Attend training consistently and notify the coach in advance of any absence
Encourage and support every member of the team on and off the mat
Represent HICA with pride, dignity, and good sportsmanship at all times
Listen, learn, and give their best effort in every session

Our Coaches Agree To:
Lead every session with professionalism, patience, and positivity
Treat every athlete equally and fairly, regardless of ability or background
Prioritise the safety, wellbeing, and development of every athlete above all else
Communicate openly, honestly, and respectfully with athletes and families
Model the values and behaviours we expect from our athletes

Our Parents Agree To:
Support their child with encouragement and positivity, never pressure
Respect the decisions and expertise of the coaching team
Raise any concerns calmly, privately, and directly with the coach
Encourage respect and sportsmanship before, during, and after every session
Honour the club's rules, policies, and commitment requirements

Zero Tolerance Policy

Zero Tolerance Policy Hilversum International Cheerleading Academy (HICA) has a zero-tolerance policy towards bullying, discrimination, and exclusion in any form. This includes but is not limited to:
Physical, verbal, or emotional bullying
Discrimination based on race, gender, age, religion, cultural background, sexual orientation, or ability
Deliberate exclusion or isolation of any athlete or family
Inappropriate behaviour or language on social media directed at club members

This policy applies to every athlete, coach, parent, and anyone connected to HICA inside the gym, at competitions, and online. Every reported incident will be taken seriously, investigated fairly, and handled promptly. Depending on the severity, consequences may include a formal warning, suspension, or permanent removal from the club.

How to Report a Concern We encourage anyone who experiences or witnesses behaviour that violates this code to speak up. You can:
Speak directly to a coach or club manager or club owner
Contact the Centre for Safe Sport Netherlands for independent support
No concern is too small. We would always rather know.

Agreement By registering with Hilversum International Cheerleading Academy (HICA), all athletes, parents, and coaches agree to uphold this code of conduct in full and contribute to a club environment that every member is proud to be part of.

Refund Policy & Withdraw Policy

Refund Policy
As a small and passionate club, all coaching, facility, insurance, and programme costs are committed and paid upfront at the start of each season. For this reason, once a payment has been made, we are unable to process refunds should you choose to withdraw from the programme for any reason. We deeply appreciate your understanding and support , it is what makes this club and everything we work towards possible.

Withdraw policy
We completely understand that circumstances can change, and we appreciate you communicating with us openly and early.

Should your child need to withdraw from the HICA recreation programme, we kindly ask that a minimum of four weeks written notice is provided to the club. This allows us to manage our coaching and planning accordingly.

Please note that any training sessions remaining within a paid billing period will not be refunded upon withdrawal. Payments already made are non-refundable, and no credit will be carried forward. We appreciate your understanding as a small club committed to delivering the best possible experience for all our athletes.

Photography & Social Media Privacy Policy

At Hilversum International Cheerleading Academy (HICA), we love celebrating our athletes and sharing the joy, progress, and achievements of our cheerleading community. We also take the privacy and safety of every child in our care extremely seriously. This policy outlines how we handle photography, videography, and the sharing of images and videos on our social media platforms and other club communications.

Consent Before any photograph or video of your child is taken and shared publicly, we require written consent from a parent or legal guardian. This consent will be requested as part of the club registration process. You have the right to withdraw your consent at any time by notifying us in writing at your earliest convenience.

What We May Share With your consent, HICA may share photographs and videos of training sessions, performances, and competitions on our official social media platforms, including Instagram and Facebook, our club website, and club newsletters and promotional materials.

What We Will Never Do HICA is committed to the safety and dignity of every child in our community. We will never share images or videos that could be considered inappropriate or unflattering. We will never share images that clearly identify a child's personal details such as full name, school, or home location alongside their image. We will never share images of a child whose parent or guardian has not provided consent. We will never share images or videos with third parties for commercial use without explicit written consent.

Tagging and Naming To protect the privacy of our athletes, HICA will not tag children by their full name on any public social media post. Where a child is mentioned, only a first name will be used, and only where the parent or guardian has given explicit permission to do so.

Third Party Photography At competitions and public events, photography and videography may be conducted by event organisers or other clubs. HICA has no control over third party photography. We encourage parents to familiarise themselves with the privacy policies of any events their child attends.

Parent and Family Photography We warmly welcome parents and families to photograph and video their own child during training and events. We kindly ask that you are mindful of other children in the frame and do not share images of other children on social media without the consent of their parents.

Data Storage Any photographs or videos taken by HICA coaches or staff will be stored securely and used solely for club purposes. Images will not be retained beyond the current season unless explicit permission is given.

Your Rights You have the right to request that any image or video of your child be removed from our platforms at any time. Simply contact us and we will action your request promptly and without question.
